Module : "Projects & Deals"

This module is specially designed for companies that sell their services or professional interventions. It therefore offers efficient management tools for the everyday control of projects. All related actors are able to access in real time the data which concerns them and thereby optimize their efficiency.
Project management is at the heart of our professional concerns. We have therefore given all our attention to ensuring the production of a management tool that is complete, powerful and ergomonic.

A project or a deal may include several sub-projects (deals) which in turn my generate other projects. The user is able to design a project or deal tree.

Project & Deal Description

A project/Deal is attached to a specific service in a company and it may be linked to a parent project. It has a code that can be auto-generated according to the service where it is based, and it has a name, a description, and start and end dates.
A project & deal may be filed under its status, importance , by its type or by administrative status. It may also involve a work schedule that may differ from that of the service to which it is attached. This schedule will be used to calculate the time devoted to each project task and the overtime hours worked by each employee. Meal break times will automatically be taken into account in calculating working hours.
The user may automatically create tasks. If the tasks are not of the fixed status type, the system will be asked to recalculate the planning to the project & deal.

Scope

This is a text zone which facilitates a definition of the functional perimeter of a project or a description of an affair. Find out about the description of a project on our site http://gpdef.com.

Tasks

A task is linked to a project or to an affair. It may have a parent task as well as a preceding task. A task can be classified according to its status, its category and its priority. It will have a name, a start date and an end date. These dates may be fixed.
Each task may be subject to a plan and this plan may stretch over several periods which may not be consecutive. Each task is linked to a function which must be defined in the project. For each phase of the task, the person responsible for the task will be able to issue a progress report Each day, each hour or even each minute can be  counted in the task plan.
For each task, the user may attach one or more documents. For each task also, a forum may be opened for the different actors to exchange views on the on-going task.

The Gantt chart

The Gantt chart is a tool used in project scheduling and management which allows you to visualise the timing of the different tasks constituting a project. It provides a graphic picture of the project’s progress.

Occupations

This part allows you to describe the profiles of the persons needed for the implementation of your project or affair. One or more persons may be affected to one or more tasks and for varying lengths of time.

Travel

For each actor in your project or affair, the user can enter information on business travel – by car, by train or by air – along with the costs of the journey.

Contracts

Here, all contractual information can be entered or loaded. The user can define the project or deal, the negotiated price (whether inclusive or for time spent), the payment type, the status of the contract and the applicable currency of the transaction. The client and the supplier may be third party payers other than those directly involved in the project or affair. The user can load the documents relating to the contract and hold discussions.

Actors

In this part, the user will describe all the actors in the project or deal – actors who are not implementing the project or affair tasks. These may be an external consultant working as a natural person or a person who works for your client and has a specific responsibility in the project or deal. The fact that a person is registered in your actors list will give them access to information so long as the third party access module is functioning.

Third party

Here, the user will register the client, the suppliers, the consultants, the parties, the counterparts, the lawyers, the accountants, as well as other legal entity actors which have a function in the project. The fact that a legal entity is registered in this list will give them access to information so long as the third party access module is functioning.

Competences

The user will inform the system about the competences required for the implementation of the project or affair, and the system can then put forward names of persons who have the required profile.

Actions

The authorized user can synchronise the project or deal with MS Project. He can also automatically generate an invoice for the project or deal.

Discussions

Project & Affair includes a discussion zone where all actors can have live exchanges on issues relating to their project. The discussion will be saved and can later be transformed by the authorised user into a task for the project or affair.
